For example, an 11:00 AM meeting time for one teammate may be midnight for another.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Also, beyond time zone differences, everyone has different schedules. So it\u2019s hard for a Scrum Master&nbsp;to maneuver around calendar clashes and coordinate a standup meeting&nbsp;that <em>everyone <\/em>can attend at the same time.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h.ndarsrbhku46\"><strong>2. <\/strong><strong>Asynchronous &amp; Minimizes Interruptions to Your Workday<\/strong><\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">The asynchronous nature of Google Sheets minimizes interruptions to your workday. For example, let\u2019s say you\u2019re debugging a problem and making a breakthrough. But a daily scrum meeting&nbsp;is set to start in a couple of minutes, forcing you to break concentration and stop what you\u2019re doing. Then, when the standup is over and you get back to work, it\u2019s hard to get into a similar flow due to context switching.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">But with Google Sheets, you can type your standup answers asynchronously and view your teammates\u2019s updates at any convenient time<strong>&nbsp;<\/strong>throughout the day (instead of in the middle of a task).<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h.2q46ud91mmsa\"><strong>3. <\/strong><strong>Faster Than Video Call or In-Person Standups<\/strong><\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">While using Google Sheets as a daily standup template&nbsp;is especially ideal for remote companies, collocated agile teams may also prefer this over in-person standups. It\u2019s faster to type your updates in Google Sheets, rather than meeting face-to-face, and potentially getting into time wasting side discussions, water cooler chat, and all the <a href=\"https:\/\/geekbot.com\/blog\/standup-meetings-waste-of-time\/\" target=\"_blank\" rel=\"noopener noreferrer\">other downsides associated with in-person standups<\/a>.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h.c77sglho8wj2\"><strong>4. <\/strong><strong>More Efficient Than Running Standups via Email<\/strong><\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Some remote teams&nbsp;may think about using a daily standup meeting&nbsp;email template, but it\u2019s not a very efficient method. Using Google Sheets for standups is more organized and easier than running daily standups&nbsp;via email. All the information is stored in one centralized place, and you don\u2019t have to open an email every time a standup update comes in. There\u2019s also more structure and information doesn\u2019t get lost in long email threads.&nbsp; &nbsp;<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h.zde181ul0t9j\"><strong>Disadvantages of Using an Excel\/Google Sheets Template for <\/strong><strong>Daily Standup Meetings<\/strong><\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Despite the advantages we mentioned, running standups via a spreadsheet is not perfect. We know first hand because we tried it (as you\u2019ll read about in this section). &nbsp;<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h.d9rw8oq9d2u\"><strong>1. <\/strong><strong>Teammates Can Forget to Fill Out the Answers without a Prompt\/Trigger<\/strong><\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">A major disadvantage to Google Sheets or Excel is that team members&nbsp;can easily forget to fill out the standup answers without a prompt or trigger\/alert to remind them.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">We had a similar problem.&nbsp;We used to run standups via Zoom, but our meetings would often last too long (<a href=\"https:\/\/geekbot.com\/blog\/daily-standup-meeting-for-remote-teams\/\" target=\"_blank\" rel=\"noopener noreferrer\">among other issues<\/a>). To address this, our CEO built a basic web form that would replace video conference standups. The plan was for our scrum team&nbsp;to type out the standup answers everyday asynchronously.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">But the web form idea didn\u2019t work\u2026<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Most team members didn\u2019t remember to fill it out, because they were often very busy, and naturally, mentally occupied with other tasks. It was easy to forget about the form, and there was no alert or trigger (i.e. mobile notification) that reminded our team to type out the standup answers. The form wasn\u2019t in your face. You had to remember to open up your browser and visit a specific URL everyday (just like with Google Sheets). Our team had <strong>trouble getting into this new habit<\/strong>&nbsp;<strong>without<\/strong><strong>&nbsp;some type reminder\/prompt<\/strong>.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">That\u2019s one of the reasons we built Geekbot, a tool that lets teams run asynchronous standups in Slack&nbsp;(<strong><a href=\"https:\/\/geekbot.com\/blog\/daily-standup-meeting-for-remote-teams\/#h.2uxfht4g7ixq\" target=\"_blank\" rel=\"noopener noreferrer\">here\u2019s how<\/a><\/strong>). There isn\u2019t an intuitive way to chat with standup attendees&nbsp;if the need arises.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">For example, let\u2019s say someone shares that they\u2019re struggling to debug a problem. You happen to have worked on a similar issue in the past, and you\u2019d like to offer help. In Google Sheets, you\u2019d have to make a comment inside the document, but it\u2019s not an intuitive place to communicate and keep the conversation going.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Instead, if you run standups in Slack&nbsp;(<a href=\"https:\/\/geekbot.com\/blog\/daily-standup-meeting-for-remote-teams\/#h.2uxfht4g7ixq\">see logistics<\/a>), you can quickly scan the whole team\u2019s answers\u2026 see if your input is needed&#8230; &nbsp;and choose to have a <strong>private<\/strong>&nbsp;side discussion with a coworker via a threaded Slack&nbsp;conversation (without involving &amp; interrupting other teammates).<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Or, you may scan the standup updates in Slack, and find that there\u2019s no need for you to&nbsp;chime in via a comment\/threaded conversation. In that case, you can move on with your day.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h.qzkh2m20ulnp\"><strong>3. <\/strong><strong>Using Excel\/Google Sheets for Standups Is Not Ideal for Creating a Fun Remote Work Culture<\/strong><\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Another downside is that a spreadsheet doesn&#8217;t elicit excitement \u2014 it\u2019s a relatively boring way to run standups. And it doesn\u2019t fulfill the team building and social function of daily scrums, which is a major downside for remote teams, because work can get lonely at times.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">When we built our Slack&nbsp;standup bot, we thought carefully about how to incorporate the team building function of standups&nbsp;into Geekbot\u2019s features (and create a more fun remote work culture for users).<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Sure, we understand that in-Slack&nbsp;standups aren\u2019t as personal as face-to-face communication. For example:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li><em>What\u2019s the #1 item on your bucket list? <\/em><\/li>\n\n\n\n<li><em>What\u2019s your favorite movie and why? <\/em><\/li>\n\n\n\n<li><em>What do you love to do in your free time? <\/em><\/li>\n\n\n\n<li><em>Etc. &nbsp;<\/em><\/li>\n<\/ol>\n\n\n\n<p class=\"wp-block-paragraph\">It\u2019s a great conversation starter, especially for people that don\u2019t work in the same space and rarely socialize with each other.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">You can configure Geekbot to send out the questions on a Friday afternoon, when most people are wrapping up work and getting ready for the weekend. Alternatively, teammates can answer these questions on a Monday to ease into the week with a fun, team building activity.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Here at Geekbot, just recently, we started answering the \u201cPizza Toppings\u201d preset questions once a week.
